Withdrawal Policy
This policy sets out the terms and procedures for withdrawing from the school, including written notice. It is implemented on the principles of fairness and equity for both parties.
Purpose
To explain the procedure for students withdrawing from the school’s Chinese language courses.
Scope
This procedure applies where full or partial tuition, textbook or materials fees have been paid, including:
- Withdrawal before the start of a new school year.
- Withdrawal by a parent or student before the start of any term.
- Withdrawal following repeated absences during a term.
- Withdrawal due to circumstances beyond the student’s control.
These standards apply to all students seeking a withdrawal refund.
Our Commitments
- Ensure students requesting refunds are not treated unfairly.
- Consider refund requests consistently, transparently, objectively and fairly.
- Make the procedure publicly available.
- Inform students and parents of withdrawal procedures at enrolment.
- Set reasonable timeframes for responding to withdrawal notices and refund requests.
- Provide written reasons for decisions and actions, and a full explanation of the refund policy and process.
Notice and Refunds
Students may apply to withdraw at any time during the teaching period. If a student cannot continue attending language classes, the school requires written notice at least five working days before the proposed withdrawal date.
- A $20 withdrawal administration fee will be deducted.
- Refunds are calculated proportionally according to the remaining teaching weeks, based on the annual or half-year fees received.
- Textbook and learning materials fees already paid are not refundable.
Refunds take 14 working days to process. No refund will be provided if fewer than five working days’ written notice is given.
For further enquiries about withdrawal, please contact the school principal through our Contact Us page.
Appeals
If you are dissatisfied with the outcome of a withdrawal refund application, you may write or email the school board to request a review.
If the dispute remains unresolved, a complaints procedure may be initiated to seek an outcome satisfactory to both parties.
